Terms and Conditions 2025
By taking part in LandAid’s Trek 2025, you agree to the terms and conditions outlined below.

Terms and Conditions of your participation in 
The LandAid Trek 2025.

By taking part in the LandAid Trek 2025 you must agree to the terms and conditions below which is required by law under the fundraising regulator.  

1. I understand that I will be taking part in an event, organised by LandAid & Adventure Café. By signing this document I am also agreeing to Adventure Cafe Participant Terms & Conditions. 
   
   
2. I understand that this event is open to individuals aged 18 and older. I confirm that I will be over the age of 18 on the day of the event.
   
   
3. I acknowledge that I take part in the LandAid Trek at my own risk and LandAid cannot accept liability for any loss or damage to personal property, fundraising income or injury.
   
   
4. I understand that I must seek medical advice about any health concerns I may have about participating.
   
   
5. I understand that if I am not entitled to access NHS medical care, I must have adequate medical insurance in place but if I do not, any payment for medical care I may need is my responsibility.
   
   
6. I acknowledge and agree that LandAid or Adventure Cafe reserve the right to deem any participant unfit to partake in the event on the day if, in their judgment, the participant's health and safety may be compromised.
   
   
7. I confirm that I have given/will give my medical and fitness details accurately and truthfully. If applicable I agree to discuss any concerns with my personal GP and get a signed certificate stating I am fit enough to undertake the challenge and provide this to LandAid and Adventure Café. I agree to inform LandAid and Adventure Café immediately if anything related to my health and/or fitness changes adversely before the challenge.
   
   
8. I understand and accept that LandAid and Adventure Cafe retains the authority to modify the trek route at any time prior to the event, with the paramount objective of ensuring optimal safety and well-being for all participants.
   
   
9. I understand that LandAid cannot be held liable for any changes made to the event for safety reasons, or as otherwise planned, through circumstances beyond our control; this includes, diverse weather conditions.
   
   
10. I understand that by registering a team that I am agreeing to the terms and conditions on behalf of all members.
    
    
11. I understand that if I select the physical trek ticket package, I must pay for my entry in full to secure my place in the challenge:

• £280 - Triple Room Package
• £340 - Twin Room Package
• £340 - Double Room Package
• £460 - Single Room Package

I understand that this payment is non-refundable except in extraordinary circumstances. LandAid will always endeavour to transfer the funds should extraordinary circumstances arise.

13. I understand that if I select the physical trek payment plan ticket package, I must pay for my entry in instalments between when I sign up and 1st July 2025:

• 4 x £70 - Triple Room Package
• 4 x £85 - Twin Room Package
• 4 x £85 - Double Room Package
• 4 x £115 - Single Room Package

I understand that the final balance is non-refundable except in extraordinary circumstances. LandAid will always endeavour to transfer the funds should extraordinary circumstances arise.

14. I understand that I must pay a non-refundable registration fee of £25 for the virtual trek.
    
    
15. I understand that if I fail to make the final balance payment by 25^th July 2025, my place will be at risk of cancellation.
    
    
16. I will immediately inform LandAid if anything occurs that puts my participation in doubt. I understand that my place may be transferred to another participant up until 2 weeks before the event (05/09/25), provided no changes to the number or type of rooms are required. After this date, places are non-transferable, and the full balance of the package must be paid to LandAid, as the charity cannot cover the loss of income.
    
    
17. I understand that if I withdraw, it is my responsibility to arrange a replacement for my participation, as LandAid will not handle this on my behalf.
    
    
18. I understand that if I withdraw from the challenge and cannot fill my spot, the following conditions will apply:

• Cancel more than 8 weeks before departure (before 25th July 2025): The deposit is non-refundable, but any additional payments will be refunded.
• Cancel less than 8 weeks before departure (after 25th July 2025): No refund will be provided, and the total challenge balance will remain payable to LandAid.

Written confirmation of cancellation is required. This must be sent via email, and LandAid must confirm receipt.

19. After full payment, if LandAid cancels the event, the following refunds will apply:

• A full refund of the payments made
• Funds transferred to another LandAid event
• Payment as a donation to LandAid

In the event of cancellation, LandAid will provide written confirmation of the cancellation.

20. I understand that payments for the trek package do not count towards my fundraising target.
    
    
21. I understand that Gift Aid does not count towards my fundraising target.
    
    
22. I understand that the minimum fundraising target is £800 for the Physical Trek and £100 for the Virtual Trek. I will make my best effort to raise funds for LandAid in connection with my participation in the event and aim to meet the minimum target. Additionally, I must raise 50% of my fundraising target by 12 September 2025. All payments must be made to LandAid within two calendar months of the event date (18 November 2025).
    
    
23. I understand that if I do not meet my minimum fundraising target of £800 for the Physical Trek or £100 for the Virtual Trek, LandAid may invoice me or my company for the remaining balance.
    
    
24. I will ask all sponsors (unless they are donating via my online sponsorship page) to complete a sponsorship form which will include an option for sponsors to ensure their donation also attracts gift aid and I understand that I must only use the sponsorship form(s) provided by LandAid.
    
    
25. I understand and will make clear to all sponsors that sponsorship money is given by way of donation. If I fail to take part in, or withdraw from, the event, any sponsorship collected will be refunded to the donor or gifted to LandAid.
    
    
26. Any fundraising I undertake in connection with my participation in the event will be for LandAid only.
    
    
27. I understand that all equipment for the Trek will be provided by myself and not LandAid.
    
    
28. I agree and understand that there is a possibility that my clothing or equipment may suffer some damage and I may experience minor injury (scratches, grazes, twisted ankles etc.) and that these minor injuries and property damage are an unavoidable component of the type of trip that Adventure Café have organised.
    
    
29. I have provided LandAid with the correct information. For more information on data, please refer to the LandAid Privacy Policy and Adventure Cafe Privacy Policy. 
    
    
30. I will not do anything to bring LandAid into disrepute. If I do so, LandAid has the right to withdraw my place.
    
    
31. I give permission for the free use of any pictures or video footage taken by LandAid on the day for promotional advertising or other uses as deemed appropriate.
    
    
32. I understand that the event is fully staffed by LandAid & Adventure Cafe staff. I agree to follow instructions safely and follow any advice given by all staff. 
    
    
33. I understand if I am registered as disabled or with special needs, I will notify LandAid prior to the event and follow the appropriate advice given.
    
    
34. With the exception of guide or assistance dogs, no animals are permitted at the LandAid Trek. Participants wishing to attend an event with a guide or assistance dog are requested to contact LandAid in advance of the event for assistance.
    
    
35. I confirm I have read, understood, and agree to all the terms and conditions set out above.

 LandAid recommends all participants keep a copy of the terms and conditions safe to refer to after registering for the event.
