Event Terms and Conditions


By taking part in the LandAid Trek 2026, you agree to the terms and conditions below.

  1. I understand that I will be taking part in an event, organised by LandAid & Adventure Café. By signing this document, I also agree to Adventure Cafe Participant Terms & Conditions. 

  2. I understand that this event is open to individuals aged 18 and older. I confirm that I will be over the age of 18 on the day of the event.

  3. I acknowledge that I take part in the LandAid Trek at my own risk and LandAid cannot accept liability for any loss or damage to personal property, fundraising income or injury.

  4. I understand that I must seek medical advice about any health concerns I may have about participating.

  5. I understand that if I am not entitled to access NHS medical care, I must ensure that I have adequate medical insurance in place. If I do not, I accept responsibility for any medical costs I may incur.

  6. I acknowledge and agree that LandAid or Adventure Cafe reserve the right to deem any participant unfit to partake in the event on the day if, in their judgment, the participant's health and safety may be compromised.

  7. I confirm that I have provided, or will provide, my medical and fitness details accurately and truthfully. Where applicable, I agree to discuss any concerns with my GP, obtain written confirmation of my fitness to participate, and provide this to LandAid and Adventure Café. I agree to inform LandAid and Adventure Café immediately if anything related to my health or fitness changes prior to the event.

  8. I understand and accept that LandAid and Adventure Café reserve the right to amend the trek route at any time prior to or during the event where necessary to ensure participant safety and wellbeing.

  9. I understand that LandAid cannot be held liable for changes to the event made for safety reasons or due to circumstances beyond its reasonable control, including adverse or variable weather conditions.

  10. I understand that if I register a team, I am agreeing to these terms and conditions on behalf of all team members.

  11. I understand that if I confirm my place in the Eastbourne trek, I must pay for my entry in full to secure my place in the challenge:
  • £260 - Twin Room Package
  • £380 - Single Room Package

I understand that this payment is non-refundable except in extraordinary circumstances. Where possible, LandAid will endeavour to transfer the funds to another LandAid event.

  1. I understand that if choose a Trek payment plan, I must pay for my entry in instalments between registration and 1 July 2026:
    • 4 x £65 - Twin Room Package
    • 4 x £95 - Single Room Package

I understand that these 4 payments are non-refundable except in extraordinary circumstances. LandAid will always endeavour to transfer the funds should extraordinary circumstances arise.

  1. I understand that if I fail to make the final balance payment of the trek payment plan by 1st July 2026, my place will be at risk of cancellation.
  1. I understand that I must pay a non-refundable registration fee of £30 if taking part in the Trek Your way event.
  1. I agree to inform LandAid immediately if anything occurs that may affect my participation. I understand that my place may be transferred to another participant up to one week before the event (by 1 September 2026), provided no changes to the number or type of rooms are required. After this date, places are non-transferable, and the full balance remains payable, as LandAid cannot absorb the resulting loss of income.
  1. I understand that if I withdraw, it is my responsibility to arrange a replacement for my participation, as LandAid will not handle this on my behalf.

  2. I understand that if I withdraw from the challenge and cannot fill my spot, the following cancellation terms apply:
  • Cancellation more than 8 weeks before departure (before 23rd July 2026): the deposit is non-refundable, but any additional payments will be refunded.
  • Cancellation within 8 weeks of departure (on or after 23rd July 2026): no refund will be provided and the full balance will remain payable.

Written confirmation of cancellation must be provided by email and acknowledged by LandAid.

  1. If LandAid cancels the event after full payment has been made, participants will be offered one of the following options:
    • A full refund of the payments made
  • Transfer of funds to another LandAid event
  • Payment as a donation to LandAid

In the event of cancellation, LandAid will provide written confirmation of the cancellation.

  1. I understand that payments for the trek package do not count towards my fundraising target.
  1. I understand that Gift Aid does not count towards my fundraising target.
  1. I understand that the minimum fundraising target is £800 for the Eastbourne Trek and £100 for the Trek Your Way event. I will make my best effort to raise funds for LandAid in connection with my participation in the event and aim to meet the minimum target. Additionally, I will aim to raise 50% of my fundraising target by 14 September 2026. All payments must be made to LandAid within two calendar months of the event date (17 November 2026).
  1. I understand that participants are encouraged to make every reasonable effort to reach the minimum fundraising target of £800 for the Eastbourne Trek or £100 for the Trek Your Way event. In circumstances where little or no fundraising has been achieved, LandAid may contact me or my company to discuss a contribution towards the shortfall.
  1. I will ask all sponsors (unless they are donating via my online sponsorship page) to complete a sponsorship form which will include an option for sponsors to ensure their donation also attracts gift aid and I understand that I must only use the sponsorship form(s) provided by LandAid.

  2. I understand and will make clear to all sponsors that sponsorship money is given by way of donation. If I fail to take part in, or withdraw from, the event, any sponsorship collected will be refunded to the donor or gifted to LandAid.
  1. Any fundraising I undertake in connection with my participation in the event will be for LandAid only.
  1. I understand that all equipment for the Trek will be provided by myself and not LandAid.

  2. I understand and accept that participation may result in minor injury (including but not limited to scratches, grazes, or sprains) or minor damage to clothing or equipment, and that such risks are inherent in this type of activity.
  1. I confirm that I have provided LandAid with the correct information. For more information on data, please refer to the LandAid Privacy Policy and Adventure Cafe Privacy Policy

  2. I will not do anything to bring LandAid into disrepute. If I do so, LandAid has the right to withdraw my place.

  3. I give permission for photographs and video footage taken during the event to be used by LandAid for promotional and other legitimate purposes. I understand that I may notify LandAid if I wish to opt out of this.

  4. I understand that the event will be staffed by LandAid & Adventure Cafe personnel and agree to follow all reasonable instructions and safely guidance provided.

  5. I understand that if I am registered as disabled or have additional needs, I must notify LandAid in advance of the event and follow any appropriate guidance provided.

  6. With the exception of guide or assistance dogs, no animals are permitted at the LandAid Trek. Participants wishing to attend with a guide or assistance dog are asked to contact LandAid in advance.

  7. I confirm I have read, understood, and agree to all the terms and conditions set out above.


LandAid recommends all participants keep a copy of the terms and conditions safe to refer to after registering for the event.
